Bank Statement to Excel β and Prove the Numbers Add Up
Extracting a statement is easy. Trusting it is the hard part. A single misread digit in the middle of a 400-row statement leaves every later balance wrong and nothing tells you. This conversion recomputes the running balance row by row, so the arithmetic is checked before the file reaches your workbook.

The problems that make statement conversion risky
One wrong digit, silent consequences
3 read as 8 shifts every subsequent balance. Nothing in a normal spreadsheet flags it β the totals still look plausible.
Debits and credits in one column
Many statements list amounts without a sign and rely on a separate column to say which direction the money moved. Flatten that and every expense becomes income.
Two dates, one row
Posting date and transaction date are different fields. Merging them breaks month-end cutoffs.
Page headers mid-table
Each page restarts with account number and column headers, which end up as data rows in the middle of your sheet.
Summary boxes parsed as transactions
Beginning balance, total credits, total debits, and ending balance are not transactions β but they arrive looking like rows.
Multi-month files
Twelve statements stapled into one PDF produce twelve balance restarts and twelve sets of headers.
What verified conversion actually checks
Every row is tested against the arithmetic: previous balance plus or minus the transaction must equal the balance printed on that row. Where the statement prints a running balance, a mismatch is a hard signal that something was misread, dropped, or duplicated.
The check catches the failures that survive visual inspection: a digit that OCR read wrong, a transaction the parser skipped, a row duplicated at a page boundary, or a fee printed in a separate section.
The result is a ledger you can hand to someone else β with the verification status attached, not implied.
What you get out
- A clean ledger: posted date, description, debit, credit, balance β one row per transaction.
- A reconciled total: opening balance plus all activity equals the closing balance printed on the statement.
- Export formats for the tool you already use: XLSX/CSV for analysis, QBO/OFX for bookkeeping software.
- Month-level summaries when several statements are converted together, instead of one giant undated sheet.
Converting a statement step by step
Upload the statement PDF
Digital or scanned. Password-protected files must be unlocked first β save a copy without the password.
Review the extraction
Check that the header block was recognized as metadata, not as transactions. Multi-month files are split by statement period.
Read the reconciliation result
A balanced ledger is the green light. A flagged row shows the transaction and the balance that did not match β check it against the page image.
Export and import
Send the ledger to Excel for analysis, or straight to QBO/OFX for bookkeeping. Keep the verification output with the file.
Who this is for
Bookkeepers reconciling a clientβs account, analysts underwriting a business from its deposit history, founders preparing a data room, and anyone who has ever been asked "can you send me the last six months as a spreadsheet".
If the statements feed a credit decision, the difference between a plausible spreadsheet and a verified one is the whole point. A wrong balance looks exactly like a right one until someone checks.
Frequently asked questions
Does it handle scanned bank statements?+
Yes. Image pages are OCRed first, then reconciled. The reconciliation step is what catches most OCR errors, because a misread digit stops the balance from rolling forward correctly.
Can I convert several months at once?+
Yes β multi-month PDFs are split by statement period, and each month is reconciled separately so balance restarts do not create false mismatches.
What formats can I export?+
Excel-friendly CSV/TSV for analysis, plus QBO and OFX for QuickBooks and similar bookkeeping tools. The ledger keeps debits and credits in separate columns.
Is my statement uploaded to a server?+
Conversion is server-side and the file is shredded after processing. If your policy forbids uploading statements, clear it with your compliance owner before using any online converter.
Is a free conversion enough to try it?+
Yes β one free file per day, no account. Paid packs are per-file rather than a monthly subscription, which suits occasional reconciliation work.
